1. Managing Your Appointment Schedule

Choosing your hours and breaks

Your appointment schedule and hours will be setup based on the hours you would like to see clients. If you want to block off any slots for breaks etc. please choose the timeslot and set it as an “Unavailable Block”. You are advised to do this at least a week in advance as all slots that are available might be filled by our admin team, or by clients directly online.

Please do keep track of your available slots as it is very difficult to reschedule a client once they book in. If you would like to change your work hours, you can do so via Cliniko at any time.

Appointment and Booking Types

All appointment types are linked to their corresponding Medicare item code and invoice amount, as well as the relevant reminder and forms for the various appointment types so it is essential that you book clients into the correct appt type.

All new clients are booked in at $160 and we leave it to your discretion if they should be charged less or bulk billed for future sessions. If you do decide to charged a reduced fee, please make sure you put a note in the client files or case notes indicating that you have agreed to a lower fee and follow the instructions for switching the appointment to the correct price after they have booked in (Instructions below).
Appointment Types
  • Bulk billing: this is if you wish for a client to be bulk billed (no out of pocket expense to client at all). Select either face to face or telehealth.
  • Eating Disorders: Please only select this is a valid eating disorder plan has been prepared and sent through by GP. There is requirement via Medicare on how these sessions are handled. Please select the telehealth and then the relevant appt type and price (i.e. 120 140 160)
  • Face to Face: Select relevant price point that your client is on. Standard appointments for existing clients are $160, so first appt is booked as new client, then standard appt. All bookings via the website will come in at the $160 standard price. If one of your existing clients books in via the website, please change them to the relevant price you have them on. Unfortunately, there is no way around setting various price points on website (obviously everyone would select the lowest price etc.)
  • Telehealth: When Making an appt for a client via telehealth, please select phone or video call (Medicare has different codes for each), or Telehealth Private (which covers phone / video for private health clients), then the price point that you are charging the clients as above.

Yellow – $120
Blue – $140
Pink – $160

What happens when a new client books in

All new clients who are booked in will receive an email confirming their booking which contains important information that they need to know. This includes a link to our online intake and consent form as well as some information on fees and cancellations etc. 

Clients can book themselves in online using our booking form, or they can call our admin team or use our contact form.

Fees

Your fees for your session will be $160 and standard sessions run for 50 mins. If you require letters, reports, or supporting documentation beyond a letter of attendance, these will incur an additional cost which your psychologist can advise you on upon request.

Arriving for your Appointment

Parking is available on site, please park in bays marked for unit 2 if possible. Do note that when you arrive for your appointment, your psychologist might be with a client. Sometimes, we might also be running slightly behind as someone has needed us a bit longer that day.

Cancellations

We understand that something life is unpredictable. We do not charge any cancellation fees if you let us know at least 24 hours in advance. If you cancel your appointment within 24 hours or no-show, you may be required to pay a cancellation fee of $100 or Prepay for future sessions. We do ask that you try your best to cooperate with us on this. Late cancellations make it difficult for us to help those who need it.

Location

Telehealth sessions are provided remotely through video call or over the phone. Your psychologists will discuss this with you before your appointment. Please DO NOT attend our clinic for your appointment.


Instructions for Video Call

If you are having your session through video call, you will receive a link prior to your appointment. Please follow the link and enter the online waiting room. At the appointed time, your Psychologist will grant you access into the call.


Cancellations

Cancellation and No Show Fees

Our practice policy is a $100 Late cancellation (within 24 hours) or No-show fee. However, we leave it to our clinicians to decide if this fee should be implemented that any particular instance. For example if you feel it might damage the therapeutic rapport and the client had a very valid reason etc. you may decide not to charge this fee. All clients will be made aware of this fee as it is in our consent / booking forms.
